Although this stereotype may not be <em>entirely<\/em> untrue, being a good copy-editor or proofreader is about so much more than simply checking punctuation and having a good grasp of the English language.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In <em>The Subversive Copy Editor<\/em>, Carol Fisher Saller writes: \u2018Knowing how to tinker with a broken piece of prose until it hums is a source of contentment known by all who have mastered a worthy craft.\u2019<\/p>\n\n\n\n<div style=\"height:51px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">What exactly is a copy-editor and proofreader?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Before we can begin thinking about <em>how<\/em> to become a copy-editor or proofreader, it helps to understand <em>what<\/em> the work actually involves. A good place to start is by defining a few terms:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>copy-edit: (verb) edit (text) by checking its consistency and accuracy.<sup>[1]<\/sup><\/li>\n\n\n\n<li>proofread: (verb) read (printer\u2019s proofs or other material) and mark any errors.<sup>[2]<\/sup><\/li>\n<\/ul>\n\n\n\n<div style=\"height:32px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">When a copy-editor receives a text, they focus on whether it\u2019s clear, concise, correct, coherent and complete. These are often referred to as the <strong>five Cs of copy-editing<\/strong>. In simpler terms: does the text make sense, and are there any errors in grammar, punctuation, spelling or content?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Copy-editing also takes place across many fields, including academic writing, fiction, medical communications and marketing, to name just a few. Entering a specialised field of editing (think medical journals or university-level dissertations) may require some background knowledge or experience in the subject. After all, copy-editors must ensure that the text is not only correct but also coherent, which means they need to understand what they\u2019re reading.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Different texts also require different levels of editing. A well-written, polished document may only require a light copy-edit or even just a proofread (think dotting the i&#8217;s and crossing the t\u2019s). By contrast, a text written by an author whose first language isn\u2019t English may need a more substantial edit.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In some cases, particularly in fiction, authors may rely on editors to help shape the manuscript. This type of work is known as structural or developmental editing. Here, the editor may suggest improvements to the narrative flow, guide the overall coherency and structure of the document and sometimes even rewrite significant portions of the text (with the author\u2019s approval, of course. We remain editors, not ghostwriters!)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Proofreading, on the other hand, usually happens at the very end of the process. It serves as a final check for spelling errors such as typos, punctuation mistakes, formatting issues or small problems that may have slipped through earlier edits. Rather than assessing for coherence, accuracy or completeness, proofreading focuses on delivering a final, polished piece of text.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">So now that we\u2019ve settled what copy-editors and proofreaders actually do, how do you become one?<\/p>\n\n\n\n<div style=\"height:51px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full is-resized\"><a href=\"https:\/\/www.sawriterscollege.co.za\/copyediting-and-proofreading-course\/\"><img fetchpriority=\"high\" decoding=\"async\" width=\"800\" height=\"800\" src=\"https:\/\/www.sawriterscollege.co.za\/wp-content\/uploads\/2026\/05\/CEP-TWC-1.webp\" alt=\"\" class=\"wp-image-110126\" style=\"width:564px;height:auto\" srcset=\"https:\/\/www.sawriterscollege.co.za\/wp-content\/uploads\/2026\/05\/CEP-TWC-1.webp 800w, https:\/\/www.sawriterscollege.co.za\/wp-content\/uploads\/2026\/05\/CEP-TWC-1-768x768.webp 768w\" sizes=\"(max-width: 800px) 100vw, 800px\" \/><\/a><\/figure>\n\n\n\n<div style=\"height:51px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">How to become a copy-editor and proofreader in South Africa<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">There is no single \u2018degree in copy-editing or proofreading\u2019, although a background or degree in languages, journalism or publication may be helpful. If you\u2019re interested in academic editing, medical communications or other specialised, niche areas, you may also need subject knowledge in the field you want to work in. For example, a CIEP course focused on British English may not be the best choice if you plan to work mainly in an American publishing environment. Research the requirements of the field you want to enter before committing time and money to training.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s also essential to invest in a good dictionary. Once you are clearer about the field you want to work in, consider investing in appropriate style guides and other reference manuals relevant to that field, such as the <em>New Oxford Style Manual<\/em>. Academic editing relies on several major style guides, including the <em>Publication Manual of the American Psychological Association<\/em> (APA), the <em>Modern Language Association<\/em> (MLA) <em>Handbook<\/em> and the <em>Chicago Manual of Style<\/em>. As these can be very costly, it\u2019s worth making sure you purchase the ones most relevant to the work you plan to do.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The <a href=\"https:\/\/editors.org.za\/\">Professional Editors\u2019 Guild (PEG)<\/a> of South Africa also offers membership, with benefits such as mentoring, webinars and accreditation for eligible editors.<\/p>\n\n\n\n<div style=\"height:51px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h2 class=\"wp-block-heading\">How to get work as a copy-editor and proofreader<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Once you\u2019ve established a solid skillset, you can start looking for opportunities. These can come in many forms, including applying for editorial internships at international publishing houses (e.g. <a href=\"https:\/\/redhen.org\/about-us\/jobs-and-internships\/editorial-internship\/\">Editorial Internship at Red Hen Press<\/a> or the <a href=\"https:\/\/www.candlewick.com\/careers\/editorial-internship\/\">Editorial Internship at Candlewick Press<\/a>), contacting journals about associate or freelance editorial roles, browsing the PEG job board where clients request edits of various types of texts or simply freelancing as an editor and building your own business.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is where the legwork begins. Consider having your CV and a cover letter professionally prepared, as these will be the first documents you attach when expressing interest in work. LinkedIn can be a valuable source for career openings, but postings there move quickly, so it\u2019s best not to rely on it alone.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, remember that editing is a competitive field. Be patient but persistent. Keep applying, keep reaching out and keep building your resum\u00e9. Opportunities rarely appear overnight, but once you start building some credibility and experience, they do come your way.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Emma Hill once wrote, \u2018The first draft is black and white. Editing gives the story colour\u2019. Patience, practice and training are the crayons in the box, helping you develop the skills needed to become a copy-editor and proofreader.
